Example: FSOU Report

Create a Report

  1. Log in to the CMS.

  2. Make sure your images are saved using specified best practices and naming conventions.

  3. Ensure your Word report is open in the Microsoft Desktop Application and not from SharePoint in your browser.

  4. Create a new report.

Complete the Metadata Tab

  1. Title: Copy in the title of your report.

  2. Report type: Choose Food Security Outlook Update.

  3. Affected Regions: Select the country referenced in the report.

  4. Primary Region: Select the country referenced in the report.

  5. Sector: Select Integrated food security analysis.

  6. Tags: Most FSOU reports will not have a tag. Exceptions include:

    1. All Ethiopia, Kenya, and Somalia food security reports should be tagged with Horn of Africa.

    2. All Ukraine reports should be tagged with Ukraine

  7. Partners: If this report is co-authored with a network partner, you will need to add the organization name in the Partners field.

  8. Email distribution date to website subscribers: This does not need to be changed for new reports unless the report takes more than one day to create.

  9. Start date: The date should match the reporting schedule for this report type and be in the format MM/01/YYYY (e.g., For the December 2022 FSOU the Start Date would be 12/01/2022)

  10. End date: Input the same month and year for the Start date and End date fields. The format should be MM/31/YYYY. (e.g., For the December 2022 FSOU the End Date would be 12/31/2022)

Complete the Content Tab

Add Acute Food Insecurity Map Visualization

Before building this data visualization, food security data, including IDP and Wheat Bag Maps must be uploaded and published in the FDW, or the maps will not generate.

  1. Select the Add data Visualization content button.

  2. Internal Title: Set a title “AFI maps” for reference to help you identify the data visualization within the report builder. This title won’t show up on the report. 

  3. Alt Text: Provide alternative text summarizing the CS and projected AFI. Reference guidance on writing alt text here.

  4. Show Figure Label: Skip (button is off by default and should appear gray).

  5. Visualization type: Select Acute Food Insecurity Map from the drop-down menu. A bug in the site is causing the page to scroll down after you make a selection. Scroll up to ensure you’re not missing any fields. 

  6. Country: Select the appropriate option for a country report. Leave this bank for a regional report.

  7. Geographic Group: Select the appropriate option for a regional report. Leave this bank for a country report.

  8. Collection Date: Type in the first day of the reporting month as MM/01/YYYY (e.g., 10/01/2022 for an October FSO). The date must be set as the first day of the reporting month to ensure the map displays correct data. 
    Note: Please make sure you input the correct reporting month for regional maps since these reports are posted a month later.

  9. Start Date: Skip (leave blank).

  10. Select one or more scenarios: Skip to include all available scenarios (CS, ML1, and ML2) on the web-generated PDF as applicable to the report type.

    1. For Food Security Outlooks: When building the AFI visualization for the Key Messages section of an FSO, select the Near Term Projection and Medium Term Projection options to exclude the Current Situation static image from the first page of the PDF.

  11. Select static maps layout type: This field affects how the maps display on the web-generated PDF.

    1. For all reports: Select Vertical from the drop-down menu. 

  12. Show HFA data: Skip.

  13. Visualization title: Skip (automatically generated).

  14. Disclaimer: Skip (automatically generated).

  15. Source attribution: Skip (automatically generated)

  16. Display USAID and FEWS NET logos: Skip. This determination is made automatically by the system.

  17. Click the Generate URL button and wait for the URL to populate the AFI map.

  18. Click on the URL and review to confirm the maps are accurate. You can also share the link with anyone who has access to the FDW to review. 

  19. Show full-width in PDF: Skip (used for HFA maps only)

  20. Float Position: Leave as Right for all reports.

Add Key Messages

Select the Add Key Messages Multi content block. 

Copy your key messages into the field. Reference endnote instructions, if applicable. 

Add Section Title

Select the Add Section Title content block and type in the relevant report section title. This will most likely be “Current Situation”.

Add Content

  1. Add a Section Content block.

    1. Begin to copy the text under the section title.

    2. STOP copying text BEFORE you reach the next section title or a paragraph that references a figure.

    3. Paste that copied text into the Section Content block.

  2. Add the next content block.

    1. If you stopped copying text because you came to a section title, add a Section Title block.

    2. If you stopped copying text because you came to a paragraph with a figure reference, add a Report Image or Data Visualization.

  3. Repeat these steps as needed until you’ve copied over all of the report text and figures.

Add HFA Map

Use the same process and settings as the AFI map above except for the following:

Layout and HFA Settings

  1. Select static maps layout type: Choose Grid.

  2. Show HFA data: Check the box to display HFA data.

Full Width and Float Position Settings

  1. Show full-width in PDF: Click to toggle on (button should appear green).

  2. Float Position: Choose None.

Add Recommended Citation

Select the Add Automatic Citation block.

Check Endnotes

Ensure that all endnotes have been added.

Also check that all endnotes references have been changed from a bracket format to superscript.

Review and Publish

Select the Save and Preview button. Review your report web page and the PDF using the review checklist.

Once you are satisfied with the formatting of both the web page and PDF, go to Edit mode and then toggle the Publish button on (button should appear green).
